How to edit PDF text without changing the layout

Make the smallest change you can

A PDF fixes every line in place. Change a few words and the new text may be wider or narrower than the old, a different font may be used, or a line may run past its column. The safest edits are short replacements of similar length. If you still have the Word or design file the PDF came from, editing that and exporting a new PDF gives you more control.

Check what kind of PDF you have

Try selecting a sentence. If the words highlight one by one, the page has real text you can edit. If nothing selects, or the whole page highlights as one block, it is a scan; you can type on top of it, but there is no text to edit.

Steps

  1. Keep a copy of the original PDF.
  2. Open Edit PDF and choose Edit Text.
  3. Click the words you want to change. The box is pre-filled with the original text, size and colour.
  4. Type the replacement, keeping it about the same length.
  5. Download, then compare the edited page with the original at the same zoom.

What Edit Text does to the page

  • The original words are covered with the page background colour and your text is placed on top; the rest of the paragraph does not move to make room.
  • Fonts are matched to the closest standard PDF font, so a custom typeface may look slightly different.
  • When you download, the edited page is saved as an image so the old words are gone from the file. The rest of the text on that page is no longer selectable or searchable.

Practical example

Replacing "Acme Trading" with "Acme Trading LLC" in a two-column brochure adds width. Check the whole line and the column edge afterwards. If several paragraphs need rewriting, go back to the source file — many small patches on one page are harder to keep tidy.

A mistake to avoid

A white rectangle drawn over a word in many PDF tools leaves the original word in the file, where it can be copied out. For confidential removals, use a method that removes the content; see "Why a black box is not proof of permanent redaction".

Why did the font change?

The original font is usually embedded only for the characters the document used, so editors substitute a similar font. For an exact match, edit the source document.
