Preparing a PDF proposal for a client

Decide the sequence
A typical order: cover letter, proposal, pricing, terms, then supporting material — case studies, CVs, certificates. Put what the client reads first at the front, and reference material at the back.
Build the PDF
- Export each part to PDF from the program you wrote it in, so layouts stay intact.
- Combine them with Merge PDF in your chosen order (up to 20 files per merge).
- Add page numbers to the whole pack so the client can refer to "page 7".
- Run Compress PDF and check the size suits email.
Read it once as the client
- The client's name is correct on every page — reused templates often keep an old name.
- Prices and totals match across the proposal and pricing page.
- Every appendix mentioned in the text is included.
- No draft comments or tracked changes slipped into an exported page.
Labelling drafts
If you send a draft for review, add a DRAFT watermark so it cannot be mistaken for the final version.
