How to compare two versions before sharing a PDF

Why versions get mixed up

Drafts get emailed, downloaded and renamed. The file called "final" in your downloads may not be the one with the last round of changes. This site does not have an automatic compare feature, so use a short manual check.

Side-by-side check

  1. Open both versions next to each other.
  2. Compare page counts first — a difference tells you where to look.
  3. Check the pages most likely to change: prices, dates, names, signatures, terms.
  4. Look at each page's first and last line; shifted text often means something was added or removed above.
  5. Confirm the version you keep has every agreed change.

For long text documents

Extract the text of both versions with PDF to Word, then use Word's Review → Compare to highlight differences. Formatting will not match, but changed words will show.

Prevent the problem

  • Put the version and date in the file name.
  • Add a DRAFT watermark to drafts.
  • Delete superseded copies from your downloads after sending.
