A practical checklist before you send a PDF

The checklist
- Format: the recipient asked for PDF, and for one file or several.
- Size: under the upload or email limit — compress or split if not.
- Completeness: every page and attachment requested is included.
- Order: pages follow the order the recipient expects.
- Orientation: no sideways or upside-down pages.
- Readability: small print, stamps and numbers are legible at 100% zoom.
- Filled and signed: every field is complete, every signature line signed and dated.
- Accuracy: names, dates and reference numbers match your source documents.
- Privacy: nothing included that the recipient should not see; sensitive files protected with a password.
- File name: says what the document is, without unnecessary personal details.
Example: a three-document application pack
Say a form wants one PDF with a cover letter, an ID copy and a certificate. Merge them in that order, open the result and run the checklist: three documents present, the ID page upright, the certificate stamp readable, and the file under the size limit. Name it something like "application-pack-2026-10.pdf".

Sending to a customer
For routine customer documents, a two-minute routine is enough: confirm the customer name, reference and version first, then read the pages and test any links. Check consequential details separately from appearance — a polished cover can distract from a wrong total or an outdated appendix. Finally, attach the exact file you checked, not an earlier one with a similar name.
