Choosing between PDF editing and text extraction

Two different jobs

Editing a PDF changes the page you already have: add a note, fix a date, cover a line, insert a signature. Converting to Word gives you the text to rewrite, but loses the original layout.

Edit the PDF when…

  • You need to change or add a few words, numbers or dates.
  • The layout must stay exactly as it is.
  • The PDF is a scan — the editor can still type on top of it.
  • You need to sign, fill or annotate.

Convert to Word when…

  • You are rewriting large parts of the text.
  • You want to reuse paragraphs in a new document.
  • Formatting will be rebuilt anyway.

How editing existing text works here

The Edit Text tool covers the original words and places your replacement in the same spot, matching size and colour where it can. On complex layouts, check the result: replacement text does not reflow the rest of the paragraph.
